Project description
Our main objective is to enhance and centrally register research output/information for seamless accessibility.
Context
The imperative for Fontys University stems from prior unfavorable evaluations, necessitating a more sophisticated approach to reporting research activities. Faced with obstacles in acquiring dependable central-level information, the institution is keen on implementing a research information system to enhance internal decision-making and external profiling within the Faculty of Society. The primary objective is to establish a comprehensive research registration system, streamlining data entry for researchers, leading lecturers, and research support staff. Anticipated positive outcomes encompass the subsequent acquisition and implementation of the research information system, with the immediate production of a detailed business case. Operative within specified budget constraints and a seven-month timeframe, the project engages diverse stakeholders and aligns with concurrent university initiatives, including the ‘Kwalitatieve Projecten’ project and the mediatheque transition. An unintended consequence involves the decision, for now, to defer the implementation of any outlined scenarios in the business case. This underscores Fontys' current requirement for a research information system that effectively showcases its societal contributions while overcoming challenges tied to fragmented data collection, a crucial aspect of research information management currently managed through incomplete Excel sheets.
Results
A developed business case, following the PMO (Portfolio Management Office) format, ready for approval through the steering committee to the CvB (Executive Board). To achieve this, the following activities have been completed as input:
- A prioritized list of requirements and wishes from all target groups (architecture, researchers, research managers, lecturers, research support, control, institute management, data stewards, IT).
- Solution architecture, including solution designs, has been developed by all relevant IT departments.
- Market consultation conducted based on the requirements from the target groups, in accordance with procurement standards.
- Scenarios have been elaborated and selected, including customer journeys.
- Preparation for the tender is complete, allowing it to be initiated once the business case receives approval.
About the project group
This initiative is driven by a collaborative effort from a dedicated project group, comprising three Open Learning students. Notably, we've collaborated seamlessly with a Fontys-wide project group, leveraging the diverse roles within it to contribute effectively to our shared objectives.
