Project description
The main challenge addressed by this project is to develop an integrated platform for Goeth Real Estate that streamlines property management processes. Currently, the company faces inefficiencies due to the use of disparate applications for managing various tasks related to lease agreements, maintenance, and other property-related operations. This fragmented approach hampers collaboration, introduces risks, and undermines operational efficiency. To overcome these challenges, Goeth Real Estate aims to consolidate its property management processes into a single integrated platform.
The project's main research question or design challenge revolves around devising an adaptable, efficient application that optimizes property management processes while ensuring flexibility and scalability to accommodate the growing number of users involved in these tasks. This entails creating a platform that enhances team collaboration, optimizes resource allocation, and upholds the company's commitment to responsiveness and efficiency.
Context
Goeth Vastgoed is a well-known real estate agency in Eindhoven. Providing services to both real-estate owners as well as home-seekers in the Eindhoven-Tilburg-Den Bosch region.
As a full-service agency Goeth Vastgoed also is an intermediate for all service-calls ranging from leaks and damages to providing contract-services for energy and cleaning.
Goeth Vastgoed aims to increase service levels and provide faster and more accurate support to owners and renters. Because of the large variety of real-estate, from student-studio to fully furnished homes, the range of services and possible complaints is very wide and therefore complex to adequately manage.
The support team of Goeth Vastgoed is challenged to provide fast and high-quality support and faces a lot of in-efficiency due to the large variety and related complexity caused by a complex network of service-providers and real-estate related circumstances.
To address these challenges, we have developed a solution called Aqtro for Goeth Vastgoed. This application allows administrators to create workflow templates encompassing all possible scenarios. The system is dynamic, enabling administrators to customize workflows by selecting from a wide array of form elements and steps. Furthermore, administrators have the flexibility to assign specific steps to designated users or roles, who can then complete them accordingly. Additionally, administrators have access to comprehensive dashboard data for oversight and analysis.
Results
Our team developed Aqtro, a dynamic workflow management system tailored for Goeth Vastgoed, to address the complexity and inefficiency in managing service requests. Aqtro provides a flexible platform for creating and managing workflows, enhancing the efficiency of handling various real-estate-related services and complaints, placing it between Technology Readiness Level (TRL) 5 and 6, indicating it's still under development but a prototype can be demonstrated.
The development process of Aqtro also significantly improved our team's professional skills and collaboration capabilities. Working on this project enhanced our ability to operate efficiently and effectively as a team, adhering to high professional standards. This was evidenced by positive stakeholder feedback, which we anticipate will lead to improved outcomes in future endeavors.
We faced and overcame significant technical challenges related to workflow customization. Tackling this challenge expanded our technical expertise and problem-solving skills, resulting in a robust and scalable solution. The technical components of Aqtro align with TRL 6-7.
Furthermore, we developed effective communication strategies with our stakeholders, ensuring clear understanding and alignment of project goals. Regular feedback sessions and stakeholder meetings showed high levels of satisfaction and confidence in the solution, underscoring the project's overall success.
About the project group
We are a diverse group consisting of members from different countries: three from the Netherlands, one from Yemen, and one from Indonesia. Despite our cultural differences, we collaborate effectively. Since February, we have been working together, dedicating two days a week to this project from 09:00 to 16:00. Our approach is agile, with three-week sprints, except for the last one, which lasted only two weeks. Communication is excellent, we hold stand-up meetings before each group day. Moreover, we motivate and support each other.
